On behalf of the Celebrate Westlake Committee, we would like to thank you for your interest in being a volunteer. The following information details the types of volunteer activities that are available and the hours of commitment required.
First of all, anyone may volunteer – there are activities for all age groups. Time commitments vary.
Pre-Registration
Pre-Registration is available for the run, walk and kids run. There are separate tables set up for each area and 4-6 people are needed in each area. Volunteers will have a list of registrants and race number bibs. Volunteers will take registrants name, locate them on the pre-reg sheet, find race number and give bib with that number to the registrant. Hours vary but volunteers are asked to arrive between 6:15AM and 6:30AM for the run and walk. Hours for the kids run begin at 7:00AM. Pre-registration ends at the start of the race.
Registration
Day of race registration is available for the run, walk and kids run. There are separate areas set up for each event and 4-8 people work each event. Volunteers will take registration money and assist the applicants with completing the appropriate information. Hours vary but volunteers are asked to arrive between 6:15AM and 6:30AM for the run and walk. Hours for the kids run begin at 7:00AM. Registration ends at the start of the race.
T-Shirt Giveaway
All registrants have the opportunity to purchase a t-Shirt during registration. Volunteers separate the t-shirts into 2 areas – Adults and Children. Volunteers at these booths confirm individuals have purchased a t-shirt during registration and provide the individuals with a t-shirt and baseball hat. Hours for the t-shirt tents begin at 7:00AM and end at 12:30PM. There are two shifts (7-10:30AM and 9:30 – 12:30PM.)
Food Tent
There is an Adult and a Kids Food Tent. Volunteers are asked to assist cutting up fruits for race participants as well as ensure bottled water and juices are available. There are 2 shifts in the adult food tent (7 – 10:30AM and 9:30AM – 12:30PM) and 1 shift for the kids food tent (9:00AM-12:00PM)
Timers/Milemarkers
Adult Volunteers are asked to assist with being time and milemarkers throughout the course. Volunteers need to report 1-2 hour prior to the start of each race.
Water Stops
There are water stops throughout the race course. Volunteers pour water and hand cups to the racers as they pass. Volunteers need to report by at least 7:00AM in order to be able to be driven to their designated water stop.
Finish Line
Volunteers are needed at the finish line to assist with ensuring runners and walkers information is taken as they pass the finish line. Volunteers also cheer on everyone crossing the finish line.
Set Up/Clean Up
Set up begins at approximately 6:00AM the morning of the race. Volunteers assist staff with organizing tables for the Health and Fitness Expo as well as setting up the food tent area and t-shirt tables. Clean-up occurs after the awards ceremony and consists of breaking down tables, cleaning trash, removing leftover food and other miscellaneous assignments. Volunteers assisting in this area will be asked to walk throughout the campus and may need to lift/move tables.
